Privacy Policy
Effective August 7, 2026. Version 2026-08-07.2. This Policy explains how CampGrid LLChandles information in CampGrid owner accounts, booking pages, embeds, payments, communications, and waiver workflows.
1. Scope and our privacy roles
This Privacy Policy explains how CampGrid LLC ("CampGrid," "we," "us," or "our") collects, uses, discloses, and retains personal information through campgrid.co, CampGrid owner accounts, public booking pages and embeds, and related services (the "Service"). It applies to campground owners and staff, guests who use a CampGrid booking page, support contacts, and business prospects.
CampGrid handles information in two different roles. We determine how information is used for our account administration, subscription billing, security, support, service improvement, legal compliance, and business communications. For guest, reservation, stay, and waiver information submitted by or for a campground or other Customer, that Customer decides why and how the information is used, and CampGrid acts as its service provider or processor.
A guest should normally direct booking-specific access, correction, deletion, refund, accommodation, waiver, or dispute requests to the campground. We will assist the campground and respond to requests sent to us as required by applicable law.
2. Information we collect
The information we collect depends on how a person uses the Service. It may include the categories below.
- Account and contact information: name, email address, phone number, job title, organization, authentication details, hashed password, team role, and account preferences.
- Business and property information: legal and public business details, campground name and address, sites, maps, logos, rates, fees, taxes, availability, add-ons, policies, waiver settings, and uploaded files.
- Guest and reservation information: name, email, phone, stay dates, selected property and site, party size, adult and child counts, pet and vehicle details, RV type and length, license plate, emergency-contact details, notes, tags, booking source, and cancellation or refund status.
- Payment and subscription information: billing address, subscription plan and status, connected-account status, payment status, amounts, refunds, disputes, and identifiers supplied by Stripe. We do not intentionally store full card numbers or card security codes.
- Waiver and electronic-record information: waiver text and version, acknowledgement, typed signature, participant names and relationships, timestamps, IP address, browser or user-agent information, and uploaded signed files.
- Communications and support information: messages, requests, feedback, email delivery events, bounce or complaint status, and records needed to honor an unsubscribe or suppression request.
- Technical and activity information: IP address, browser and device details, operating system, referring pages, session and security events, pages or features used, error reports, performance traces, and related timestamps.
- Import and integration information: reservation or guest data a Customer imports and information received from payment, email, calendar, or other services that the Customer connects or directs us to use.
- Business-prospect information: professional name, role, business contact details, campground or business information, outreach history, and opt-out status.
3. Sources of information
We receive information directly from account holders, staff, guests, and people who contact us; from the campground or other Customer responsible for a reservation; automatically from browsers, devices, cookies, logs, and monitoring tools; and from service providers and integrations such as Stripe, Postmark, Sentry, and customer-selected calendar feeds.
For limited business-to-business outreach, we may obtain professional contact and campground information from public business websites, directories, social pages, government records, referrals, or a business-data provider. We do not treat a public email address as consent to unlimited messages, and we use opt-out and suppression information to stop further marketing where required or requested.
4. How we use information
We use personal information for the purposes described below.
- Create and administer accounts, organizations, team access, properties, public booking pages, and embedded booking tools.
- Calculate availability and configured prices; create and manage reservations, guest profiles, stays, payments, refunds, waiver records, imports, reports, and customer-directed communications.
- Provide subscription billing and support connected guest payments.
- Authenticate users, prevent unauthorized access, investigate abuse or fraud, debug errors, monitor performance, and protect the Service, Customers, guests, and others.
- Provide support, answer requests, send administrative and transactional messages, request feedback, and communicate product or policy changes.
- Understand feature use and improve the Service, user experience, reliability, and marketing. CampGrid does not use Customer Data for third-party advertising or legally significant automated decision-making.
- Send relevant business-to-business product or launch communications and honor opt-outs.
- Comply with law, enforce agreements, maintain business and payment records, resolve disputes, and establish or defend legal claims.
5. Stripe and payments
CampGrid uses Stripe for CampGrid subscription billing and Stripe Connect for Customer guest payments. Payment details are entered into Stripe-controlled interfaces. Stripe may provide us with account, customer, subscription, transaction, payout, refund, dispute, payment-method type, and status information needed to operate the Service.
A campground Customer is the merchant of record for its guest transactions and controls its prices, taxes, refund rules, chargebacks, and guest disputes. Stripe processes information under its own agreements and privacy policy. CampGrid does not intentionally store full payment-card numbers or card security codes on its servers.
6. How we disclose information
We disclose information only as reasonably needed for the Service and the purposes in this Policy. We do not sell personal information for money, share it for cross-context behavioral advertising, or use third-party advertising networks.
- Customers and authorized users: guest and reservation information is available to the campground or other Customer receiving and managing the reservation and to that Customer's authorized team members.
- Railway: application hosting and production database infrastructure, and storage when configured for the deployment.
- S3-compatible storage providers: maps, logos, waiver files, import files, and other uploaded objects when object storage is configured for the Service.
- Stripe: subscription billing, connected accounts, guest payment processing, refunds, disputes, fraud prevention, and related financial operations.
- Postmark: transactional and permitted marketing email delivery, including delivery, bounce, and complaint events.
- Sentry: application error reporting, performance monitoring, diagnostics, and security investigation. Diagnostic events may include technical and account context needed to reproduce a problem.
- Customer-selected integrations: calendar-feed or other providers when a Customer connects, imports, exports, or synchronizes information at its direction.
- Professional advisers and authorities: accountants, insurers, legal or security advisers, courts, regulators, law enforcement, or other parties when reasonably necessary to comply with law, protect rights and safety, investigate misconduct, or establish or defend claims.
- Business transactions: actual or prospective financing, reorganization, merger, acquisition, sale, or transfer of all or part of the business, subject to appropriate confidentiality and legal requirements.
7. Cookies and similar technology
CampGrid uses cookies and similar browser storage that are necessary for authentication, session security, signup verification, launch-access controls, Stripe connection state, preferences, and core Service operation. Stripe or another embedded service may set its own cookies when its interface is used. Sentry receives error and performance events; CampGrid does not currently use advertising cookies or cross-site behavioral-advertising pixels.
Browser controls can block or remove cookies, but doing so may prevent sign-in, checkout, connected payments, or other features from working. Because there is no generally accepted standard for browser Do Not Track signals, the Service does not currently change its operation in response to those signals. We do not sell or share information for targeted advertising, so a sale or targeted-advertising opt-out is not needed for our current practices.
8. Email and marketing choices
We send account, security, booking, payment, policy, and other transactional messages needed to provide the Service. Customers are responsible for the guest messages and marketing they direct through CampGrid and for having any consent or other legal basis those messages require.
You may opt out of CampGrid marketing messages by using the unsubscribe method in the message or contacting support@campgrid.co. We may retain the email address and opt-out event on a suppression list so we can honor the request. Opting out of marketing does not stop necessary service or transactional messages.
9. Retention
CampGrid does not apply one fixed retention period to every record. We generally retain account, Customer Data, and service records while the account or Customer relationship is active and afterward for as long as reasonably needed to provide requested access or support, complete payment and accounting records, comply with law, resolve disputes, prevent fraud or abuse, enforce agreements, and protect the Service.
The relevant period depends on the record's purpose, sensitivity, the Customer's instructions, legal requirements, and operational needs. Diagnostic logs and email delivery events may follow the configured retention of the applicable provider. Information in provider backups or disaster-recovery copies may remain until those copies are overwritten or expire under the provider's cycle.
A Customer or individual may request deletion or an available export, subject to identity verification and legal, security, payment, dispute, backup, and operational limits. The Service does not promise that every data type can be exported in every format or deleted immediately. When information is no longer reasonably needed, we may delete, deidentify, or aggregate it.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed for the nature of the Service, including access controls, authenticated organization boundaries, hashed account passwords, encrypted network transport in production, validation of payment webhooks, and production monitoring. No service, transmission, or storage system is completely secure, and we cannot guarantee that an incident or data loss will never occur.
Customers should use unique strong passwords, limit team access, promptly remove former users, review their configurations and records, and avoid entering sensitive information that a feature does not request. Please report a suspected security issue to the contact address below.
11. Access, correction, deletion, and other rights
Depending on applicable law, an individual may have the right to confirm whether we process personal information; access or receive a copy; correct inaccuracies; request deletion; opt out of certain sales, targeted advertising, or profiling; restrict or object to certain processing; withdraw consent; or appeal a denied request. CampGrid does not sell personal information, use it for cross-context behavioral advertising, or conduct profiling that produces legal or similarly significant effects.
To make or appeal a request, email support@campgrid.co or write to the postal address below. Describe the request and the relationship to CampGrid or a Customer. We may verify identity and authority, ask an authorized agent for proof, direct a guest request to the responsible campground, and retain information where an exception applies. We will not discriminate against a person for exercising an applicable privacy right.
12. United States state disclosures
In the preceding 12 months, the categories of personal information CampGrid may have collected and disclosed for the business purposes described in this Policy include identifiers; California customer-record information; commercial or booking information; limited protected characteristics such as adult or minor participant status; internet or electronic-network activity; approximate location inferred from an IP address; and professional information. We do not intentionally collect biometric identifiers, student education records, precise geolocation, or consumer-profile inferences.
The sources, purposes, recipients, and retention approach for those categories are described above. We have not sold those categories for money or shared them for cross-context behavioral advertising. We do not offer financial incentives in exchange for personal information. These statements do not concede that a particular state law applies to CampGrid in every circumstance.
13. Children and minor information
CampGrid owner accounts and public booking transactions are intended for adults and are not directed to children under 13. A parent, guardian, booking adult, or campground may submit a child count, a minor participant's name and relationship, or similar limited information when needed for a reservation or waiver. CampGrid does not knowingly ask a child to create an account or submit information directly.
If you believe a child submitted personal information to CampGrid without appropriate adult involvement, contact support@campgrid.co. The responsible campground may need to confirm and act on a booking-specific request.
14. Processing locations
CampGrid is a United States business and the Service is intended primarily for United States Customers. We and our service providers may process information in the United States and other locations where they operate. Privacy protections and government-access rules may differ from those in a person's home jurisdiction.
15. Changes to this Policy
We may update this Privacy Policy as the Service, providers, laws, or practices change. We will post the updated Policy and change its effective date and version. If a change is material, we will take reasonable steps to notify account holders or require acknowledgement in the Service when appropriate.
